Job Scope

The Royal Society Grants team is responsible for administering the Society’s grants programmes including the major fellowships, international collaborations, capacity building initiatives, innovation and industry grants programmes. Working across the Grants team and other relevant teams in the organisation, the postholder will be responsible for the accuracy, integrity and accessibility of the Grants-related data.

 

Specifically, the post-holder will have an analytical mindset and skills in data analysis, problem-solving and communication enabling them to:

  • Lead work to ensure that the information required to assess and administer Royal Society grants is accurate, up to date and that data retention policies are observed. 
  • Collaborate with colleagues across Grants and the wider organisation to provide management information that informs decision making.
  • Manage an ongoing programme of systems and data improvement across the Royal Society’s grant funding activities, using industry accepted project and change management techniques.

This is an exciting new role within the Royal Society grants team and would suit an individual looking to build upon their experience of research funding in a more strategic role or bring their understanding of information management to grants administration.

Responsibilities

  • Take a leading role in the day-to-day management of information and data within the Royal Society’s grants management and associated systems, ensuring consistent, effective and efficient information management across grants activity, throughout the entire data lifecycle, from collection and storage, to reporting, archiving and destruction.
  • Working with the Monitoring, Evaluation and Learning, and Funding and Assurance teams, maintain a cohesive business intelligence platform using Power BI, to enable reporting and monitoring of Grants activity, and champion good data management practices.
  • Maintain and improve the interoperability of the Society’s grants management systems with other in-house technology, including the Customer Relationship Management system and AI software, supporting the organisation’s aims to strengthen its data integrity and analytic capacity.
  • Collaborate with colleagues in the Royal Society’s IT team to support improvements and the implementation of systems and data improvements across the Grant Management system and other allied systems such as the Customer Relationship Management system, along with new technology such as AI solutions.
  • Develop and maintain documentation relating to information management and ensure all members of staff interacting with grants data are appropriately trained.
  • Manage and foster best practice on collecting, storing and using data in the Section, including maintaining glossaries of data definitions and overseeing retention in line with organisational policies.
  • Act as a subject matter expert in information management for grants, staying up to date with best practice and wider landscape developments, and proactively identifying and proposing the evolution of grants’ systems and business intelligence activity, ensuring that knowledge is shared and applied to maximum effect within the organisation.
  • Manage a portfolio of projects and subsequent implementation activities, ensuring all are appropriately planned, organised, and delivered through to completion, keeping to agreed timing and scope.  
  • Ensure that project outputs and change are appropriately implemented through documentation, training and follow-up. 
  • Contribute to strategic planning and monitoring activity related to the improvement of grants business processes, ensuring appropriate information is being consistently and frequently provided and updated across the Section, enabling Senior Leadership to monitor progress and prioritise as appropriate.
